AI POLICY
Background
The term Artificial Intelligence (AI) refers to a broad range of technologies that produce outputs by uncovering patterns in huge datasets. This encompasses widely used tools such as spellcheckers, recommendation algorithms and voice recognition tools.
In the last few years, the AI landscape has changed with the launch of tools such as ChatGPT, developed by OpenAI. Following the launch of these tools, the term generative AI has become the norm.
Generative AI refers to AI powered tools that take user inputs and output some form of media (such as image, text or sound). These tools are now publicly accessible and cheap or even free and hence are being more widely used by individuals and organisations.

Context
Generative AI can deliver benefit to organisations such as All Yours Period Box CIC, especially in delivering effective content quickly. Our organisation is largely staffed by volunteers, and therefore tools that enable work to be done efficiently are very useful in making the most of the time available.
All Yours Period Box CIC recognizes that there are legitimate concerns about the use of generative AI, particularly in the areas of:

privacy and security

originality of work

environmental impacts of AI datacentres.
As a result, we take specific steps to ensure we benefit from the use of generative AI, whilst ensuring that risks are managed. These steps are documented below.

Our Use of Generative AI
All Yours Period Box CIC uses generative AI to assist in producing text for presentations, funding applications, social media posts and website content. All generated content is reviewed by the author to ensure it is factually correct and is consistent with our voice.
We never input any of the data we hold about clients, volunteers or funders into generative AI tools. The AI tools available within Airtables which support our request processing are not used and have been switched off.
Anyone generating content on behalf of All Yours Period Box CIC, is advised of our approach to generative AI and is required to follow the above steps. (see also Social Media Policy)
We will continue to identify suitable uses of generative AI to streamline our administrative processes e.g. in producing meeting minutes and will update this statement periodically as our usage changes, and the AI landscape evolves.
